Reservations & Payments
A US$500.00 NON-Refundable and NON-Transferable deposit is required to reserve your space. The deposit will confirm your reservation. 50% of your balance will be due January, 5th 2023 and your final balance is due no later than February 23rd 2023. **If the balance is not paid in full by the due date, we will regard the booking as canceled**. Payment plans are available after receiving your deposit payment. You’ll receive a confirmation email after receiving your deposit with more details about final payment arrangements. In the case of bookings after February 23, 2023, full payment will be required upon registration.
Sharing Accommodations:
Sharing accommodations is a great way to travel and keep costs low, not to mention the incredible opportunity to get to know other amazing people. If you have someone you’ve decided to share a room with, it is your responsibility to send me the name of that person. Your shared bed accommodation will not be confirmed until both individual’s deposits have been received. If one person cancels, every effort will be made to find a replacement (if acceptable to the attendee who’s roommate has canceled) if the attendee chooses not to find or be assigned another roommate, the attendee shall be responsible to pay the private room fee).
All Retreat Package Prices include the following:
• All regular program activities, lectures, workshops and classes.
• 4 nights accommodation in booked rooms.
• Healthy delicious meals throughout your stay at the retreat center.
• Ground Transportation to and from Orlando (MCO) Airport on March 23rd (afternoon) and March 27th (morning) only. All other arrival and transfer days/times will be at your expense.
Retreat Package Prices DO NOT include
• Airfare
• Gratuities
• Items of a personal nature (i.e. laundry, alcoholic beverages, telephone calls, personal clothing, sunscreen, elective activities)
• Emergency evacuation
• Personal travel insurance
• Any item that is not specified as being included
Insurance
WE STRONGLY RECOMMEND THAT YOU HAVE FULL TRAVEL INSURANCE TO COVER YOUR RETREAT, THE ACTIVITIES ON YOUR RETREAT AS WELL AS YOUR TRAVEL ARRANGEMENTS.
Cancellations & Refunds
Kerrie Bodendorf/Balance Total Body Fitness will not be held responsible for any additional travel expenses incurred in preparation for canceled retreats including airline tickets, travel delays, flight cancellations or illness. Deposit is Non-Refundable and NON-Transferable.
Cancellation by you:
You (or any member of your party) may cancel your retreat at any time provided that the cancellation is made by the person who made the booking and has communicated the cancellation in writing. Cancellation will take effect the day such notification is received. If you fail to pay your deposit or balance by the due date then your retreat will be automatically canceled and the following charges will apply. As cancellation incurs administrative costs, we will retain your deposit and, in addition, may apply cancellation charges up to the maximum shown below:
Cancellations Charge:
• 30 days or more before arrival: Deposit only.
• 15-29 days before arrival: 75% of retreat cost.
• Less than 15 days before arrival: 100% of retreat cost.
Once your retreat has commenced, no refund or partial refund or unused portion of your retreat will be repaid in the event of cancellation by you. If the reason for cancellation is covered under the terms of an Insurance Policy, you may be able to reclaim these charges. Under no circumstances will we be able to refund the cost of your flights or other travel arrangements. Note: If the reason for your cancellation is covered under the terms of your insurance policy you may be able to reclaim these charges.
Weather Related Postponement of Retreat 2023
In case of adverse weather conditions we will do everything we can to reschedule. Kerrie Bodendorf reserves the right to cancel any retreat up to 2 weeks prior to departure, in which case any payment you have made will be refunded in full. You will not be entitled to make any further claims for compensation or damages, for any loss, consequential damage, expenses, loss of time or inconvenience which may result from such cancellation.
Covid Related Postponement of Retreat 2023
If the resort location is not available to host the retreat, you will immediately be informed about any changes. Your deposit will be transferred to the postponed dates of the retreat. No transfer fee applies to such transfer, but the deposit will remain nonrefundable. No travel arrangements booked by you will be refunded by the host.
Important Notes
Notice is hereby given that all arrangements made on behalf of customers are made by the organizers on the sole condition that the organizers shall not be held responsible for any injury, death, accident, delay, loss, damage, or irregularity which may be occasioned through acts of any company and/or persons engaged in carrying out arrangements and services described herein or otherwise in connection herewith. The organizers reserve the right to withdraw or refuse any service to any customer at the discretion of the organizers. Payment of deposit is taken as acknowledgment of and agreement to the above items.
Kerrie Bodendorf/Balance Total Body Fitness and/or the resort or location will not be responsible for any damages, expenses or inconveniences caused by late departures or change of schedule, strikes or to their conditions, nor will be responsible for loss or damage to baggage or any of the passenger's belongings. Kerrie Bodendorf/Balance Total Body Fitness and/or any resort or location and their employees shall not be responsible for personal injury, death, accident, delay, loss, damage, irregularity or property damage as a result of force or for any other losses or damages incurred by any person or tour participants caused by any delay or change of itinerary or arising out of any act, including, but not limited to, any act of negligence, any person acting for or on behalf of the event location for transportation, accommodation or sightseeing provider or any other person or entity rendering any of these services or accommodations being offered in connection with this retreat.
